Virtual Event Management System (VEMS)

Virtual Event Management System (VEMS) provides Tandon faculty, administrators, and staff with access to book conference rooms, event spaces, and request event services including furniture setup and AV.

Request an Account

All Tandon faculty and administrators/staff are eligible to request a VEMS account. From the VEMS login page, select “Request an Account”. Please allow 24-48 hours for account activation. VEMS accounts are administered by Tandon IT. If you have any questions, contact soehelpdesk@nyu.edu.

View Room Availability

Although a VEMS account is required to make reservations, individuals without an account can view room availability and browse upcoming events in VEMS on the Browse Locations page.


Event Space Request Timeline

Booking Requests

Event space reservation requests should be submitted in VEMS at least one (1) month prior to the event date, with a minimum requirement of one (1) week prior.  

Requests are reviewed during regular business hours (Monday to Friday, 9:00 AM – 5:00 PM). Please allow 3 business days for Event Services to review and approve your request for space.

Weekly recurring events, events holding multiple spaces, and weekend events will be contacted by Event Services for review before approval.

Event Services reserves the right to reassign space when necessary and identify a space alternative to the original request.

 

Service Requests

Event furniture setup details and requests for AV equipment are collected at the time of booking in VEMS. All event setup and AV needs must be finalized no later than one (1) week prior to the event. Refer to Services for more information.

 

Cancellations

Users are asked to cancel bookings in VEMS as soon as it is determined that space is no longer needed. This action releases spaces for others to use and avoids unnecessary scheduling of services.

Events canceled within two (2) days of the event date should send an email to tsoe-events@nyu.edu.


Conference Rooms

Departmental conference rooms are available to book directly using VEMS. During VEMS account activation, users are assigned access to the reservation templates corresponding to the user’s department.

VEMS is used to manage conference room reservations and also collect important data on campus space utilization. If your department manages a conference room that is not on VEMS, reach out to tsoe-events@nyu.edu.
